At Sol Motion Collective, our policies are designed to create a fair, respectful, and welcoming experience for everyone in our community. Many of our classes have limited space or waitlists, and these guidelines help ensure that all members have equal access to our schedule.
CANCELLATIONS, REFUNDS, & FEES
Membership Cancellation Policy
Memberships are billed monthly, with the option to commit to either a 1-month or multi-month term.
1-Month Memberships
There is no cancellation fee for 1-month memberships. If you choose to cancel, your membership will simply end at the conclusion of your last billed month. Please note that prepaid fees are non-refundable and prorated refunds are not provided.Multi-Month Memberships
A multi-month membership (for example, a three-month membership) offers discounted pricing in exchange for a longer commitment. If you cancel a multi-month membership before completing the full term, a one-time $65 early cancellation fee will apply at the time of cancellation. Prepaid fees are non-refundable, and no prorated refunds will be provided.
All membership cancellations must be submitted by email to solmotioncollective@gmail.com.
Event/Program Refund Policy
Sol Motion Collective hosts special events and programs, including workshops, series, and multi-session offerings.
A Program is a pre-registered series of classes, sessions, workshops, or events that are purchased as a block and have a defined start and end date (for example, a 6-week beginner’s running program or a relaxation course).
Refund Policy for Events & Programs
Refunds are available only after the first class or session of a program or event.
No refunds will be issued once the second class, session, or event has occurred, regardless of attendance.
All registrations are otherwise non-refundable and non-transferable.
Late Cancellation & No-Show Policy
To help accommodate waitlists and allow others the opportunity to attend, we ask that all class cancellations be made at least 4 hours before class start through the WellnessLiving portal.
Cancellations made within 4 hours of class start time, or failure to attend a registered class (no-show), will result in the following:
Members: A $12 late cancellation / no-show fee
Class Pass Holders: The class will be deducted from your pass as if attended
This policy applies to all classes.
Exceptional Circumstances
We understand that unexpected and emergency situations can arise. If you experience exceptional circumstances, please reach out to us at solmotioncollective@gmail.com. While the above policies are consistently applied, requests may be reviewed at management’s discretion.

SAFE & RESPECTFUL ENVIRONMENT
At Sol Motion Collective, we are committed to providing a safe, inclusive, and respectful environment for everyone who enters our space. Our community includes people of all backgrounds, identities, abilities, and experience levels, and we believe movement spaces should feel welcoming and supportive for all.
Our Commitment
Harassment, discrimination, or abusive behaviour of any kind is not tolerated. This includes, but is not limited to:
Verbal, physical, or written harassment
Discriminatory or offensive comments related to race, ethnicity, gender, gender identity & expression, sexual orientation, age, religion, body type, or ability
Intimidation, bullying, or aggressive behaviour
Unwanted physical contact or inappropriate attention
Disruptive behaviour that negatively impacts the experience or safety of others
Shared Responsibility
Creating a safe environment is a shared responsibility. We ask everyone in our community to:
Respect personal boundaries
Be mindful of shared space and equipment
Communicate with kindness and professionalism
Support a culture of inclusivity and mutual respect
Reporting Concerns
If you experience or witness behaviour that makes you feel uncomfortable or unsafe, we encourage you to let us know. Concerns can be shared confidentially by emailing solmotioncollective@gmail.com.
All reports will be taken seriously and reviewed thoughtfully. While we may not be able to share details of findings or actions taken, appropriate measures will be applied.
Addressing Concerns
If this policy is not respected, we may need to step in. Depending on the situation, this may include a conversation, a warning, asking someone to leave a class or program, or pausing or ending their participation in Sol Motion Collective. If a membership is ended due to a breach of this policy, refunds will not be provided.
These decisions are made thoughtfully, with the safety and wellbeing of our community as the top priority. Our goal is always to respond in a fair, respectful, and supportive way while maintaining a space where everyone feels safe and welcome.

PHOTOGRAPHY & MEDIA
We love capturing moments from our classes and events to share with our community for promotional, educational, or social media purposes. If you’d prefer not to be photographed, just let your instructor know ahead of class or afterwards if you see them taking any pictures. You can also email us at solmotioncollective@gmail.com anytime if you notice a photo of yourself that you’d like removed.
